Where it usually starts

The books slipped, and now something needs them

Usually it's a bookkeeper who quit, a loan application, or a return that can't be filed until the numbers exist. Then comes the price question. These are posts from owners on r/smallbusiness, not our clients.

  • “Am I paying too much for bookkeeping? $1000/month.”
  • “How much do you guys spend on average for bookkeeping.”
  • “Burned by cheap bookkeeping?”

What we do

What happens to your books

Catch-up fills the months nobody recorded. Cleanup fixes the months that were recorded wrongly. When a file needs both, it's one job and one quote.

  1. 01

    Reconstruct

We rebuild the missing months from your bank and card statements, invoices and receipts, so every month has a record.

  2. 02

    Reconcile

Every bank, card and loan account is matched to its statement, month by month, until the balances agree.

  3. 03

    Categorise

Income and expenses go to the right accounts. Duplicates come out and personal spending gets separated.

  4. 04

    Statements

You get a profit and loss and a balance sheet for each year we cover, ready to hand to whoever files your return.

Price and time

Priced by the month of books

Starting points. You get the full number in writing after we've seen your statements, and nothing starts before you agree to it.

Catch-up

From $300

per month of books brought up to date. A one-time project.

Cleanup

From $600

for books that exist but are wrong. Takes 2 to 8 weeks.

Cleanup + Xero migration

$300/mo + $750

$300 a month for the cleanup plus $750 for the migration. Up to 12 months caught up, then moved into Xero with a new chart of accounts.

The turnaround for your catch-up goes in your written quote. Every price is on the pricing page.

Why now

January comes with deadlines that need clean books

If you paid contractors, their 1099-NEC forms are due to them and to the IRS by January 31 (the next business day when it lands on a weekend). You can't fill those in without knowing who you paid and how much.

Starting now means the year is closed before tax season, and if you're switching software, the new system starts clean on January 1.

What we need from you

Four things, and the first one matters most

  1. 01

    Statements

Bank, card and loan statements for every month we are catching up. PDFs from online banking are fine.

  2. 02

    Software access

A login to whatever you use now, QuickBooks, Wave, Xero or a spreadsheet. If there is nothing, that's fine too.

  3. 03

    Receipts and invoices

Send what you have, unsorted is fine. Any gaps get listed and we ask you about them.

  4. 04

    Last return filed

Your most recent business tax return, so the opening balances match what was reported.

Limits

What we don't do

More on our disclosures page.

  • Audit your books or issue reviewed or compiled financial statements. That work needs a CPA firm. We hand back audit-ready books, meaning every account reconciles to its statement.
  • Represent you before the IRS. If a notice needs a reply from a representative, we'll tell you that you need an Enrolled Agent or tax attorney.
  • Guess at transactions we can't trace. We ask you, and anything still unknown is listed for you before we close the file.

FAQs

What owners ask us

Catch-up is when months were never recorded at all. Cleanup is when they were recorded but wrongly: bad categories, duplicates, accounts that don't reconcile. Plenty of books need a bit of both, so we quote them together after one look at your books.

Catch-up starts at $300 for each month of books we bring up to date. A cleanup of books that already exist starts at $600. The final number depends on how much there is to sort out, and you get it in writing before we start.

No. We work through it a year at a time. If a return is late because the books weren't ready, we'll say which year to sort out first.

No, though it’s what we use for monthly clients, and a year boundary is the easiest time to switch. See QuickBooks to Xero migration. If you'd rather stay in QuickBooks, ask us on the call.

We can prepare it. Once the books are clean, the return is quoted separately (tax preparation starts at $225), or it’s included in a monthly package if you stay on with us.

No. Qeihan is a bookkeeper and tax return preparer, not a CPA or an Enrolled Agent. Bookkeeping doesn't need either, and our disclosures page spells out what that means.
